How to Ask AI to Summarize a Document Without Losing What Matters
Short answer: tell the AI who the summary is for, what decisions it should support, and what shape you want back, and tell it to say "not stated" instead of guessing. A good summary depends on its purpose, so give the AI one.
"Summarize this" is one of the most common prompts and one of the least specific. A summary for your boss, for a study session, and for a legal review should look completely different.
The problem with "summarize this"
Without a purpose, AI summaries treat every section equally, drop the numbers you needed, and sometimes fill gaps with plausible-sounding details that aren't in the document.
The summary prompt formula
- Audience: "for a busy executive," "for me before a client call."
- Purpose: "so I can decide whether to renew," "so I can study for the exam."
- Structure: bullets, a table, a TL;DR + details, or a decision log.
- Length: "5 bullets max" or "under 150 words."
- Faithfulness rule: "Only use the document. Write 'not stated' if something's missing. Cite the section for each point."
Before and after
Before:
summarize this [pastes 20-page vendor contract]
After:
Role: You are a contracts analyst. Task: Summarize the contract below so I can decide whether to renew. Format: 1) 3-sentence TL;DR 2) Table: Term | What it says | Section 3) Red flags (auto-renewal, price increases, termination fees) 4) 3 questions to ask the vendor. Constraints: Only use the contract. Quote section numbers. Write "not stated" instead of assuming. Contract: """[paste]"""
Why it works: the purpose (renewal decision) tells the AI which clauses matter, the section citations make every claim checkable, and "not stated" stops it from filling gaps.
Templates by document type
Meeting notes: "Turn these notes into: 3-bullet summary, decisions made, and a table of Action | Owner | Due. Write 'unclear' for missing owners." Research paper: "One-sentence takeaway, method, key findings with numbers, limitations, and how it relates to [my topic]." Long email thread: "What was decided, what's still open, and what's being asked of me specifically, in under 100 words." Book or course: "The 5 ideas I could apply this week, each with one concrete example."
Long documents
If the document is very long, ask for a section-by-section summary first, then a summary of the summaries. Use triple quotes (""") around pasted text so the AI can tell your instructions apart from the content.
FAQ
Can AI summarize a PDF? Most major assistants accept PDF uploads. The same prompt rules apply. How do I know the summary is accurate? Ask for section or page citations and spot-check two of them. What length should I ask for? Decide based on what you'll do next. For a quick decision, 3-5 bullets is usually enough.
